Introduction
This Privacy Statement applies to the personal customer data collected or used by Regent. Privacy laws require Regent to provide you with certain information relevant to Regent's collection of your personal data.
What types of personal data does Regent collect?
Regent collects personal data from customers and their employees, job applicants, end users, website visitors, application users, and prospective employees. The following personal data may be collected: name, address, telephone number (landline and/or mobile), email address, company name, company size and industry, company revenue, name and title of individual contacts, fax numbers, IP addresses, device location data, service and website usage data, billing and transaction information, and credit card or other financial information. We may also ask for other information, for example, based on the services being ordered or promoted. For customers who use our telematics services, we also collect data about machines, vehicles/vessels, and driving behavior, including, but not limited to, location, operating time, and speed data.
How does Regent obtain personal data?
Regent may obtain personal data in various ways, including through orders placed by customers and end users (by phone, fax, email, online, or through an application form, order form, or contract), and through products and services, portals and apps, information requests from existing and prospective customers, and from suppliers, contractors, and job applicants.
Regent may use "cookies" and similar technologies to obtain information about visits to our websites and your responses to emails from us. We collect this data both in a form that allows you to be identified and in an aggregated form that does not. These reporting tools help us determine which parts of our websites or emails interest you, improve the quality and usefulness of our sites, and provide you with a personalized experience. In addition, the use of cookies allows us to automate access to password-protected areas of our websites, so you don't have to enter your password each time you visit. You can block cookies in your web browser or through other commercially available software, but if you do so, you may not be able to use certain features of our websites. Your browser settings may also not control some technologies.
When we send you emails, we may include web beacons that allow us to determine how many people open our emails or click on links in our emails. If you do not want to allow web beacons in emails, you can disable the display of HTML images or disable HTML display (by choosing text display) in your email software.
We may obtain information about you that we collect during conferences, meetings, and seminars. We may also collect data through chat rooms, blog posts, newsgroups, and social networking websites. The information we can view on social networking websites with your consent varies by website and is determined by the privacy settings you configure on that website.
Regent also obtains data from third parties. For example, Regent may request financial information about customers and end users from third parties to evaluate the risks associated with extending credit. We may also obtain contact information from organizations that may be interested in our products and services.
How does Regent use the collected personal data?
Regent uses your personal data for purposes you might reasonably expect based on the nature of your relationship with Regent. These include providing services, managing your account, billing, technical support, product development, and payments. For telematics customers, Regent may, but is not limited to, associate information about machines, vehicles/vessels, and driving behavior, including location, operating time, and speed data, with personal data. Furthermore, Regent uses personal data to improve the services Regent offers to customers and to combat fraud and other illegal activities. Regent also uses personal data in other ways described when you provide the personal data, or at your direction and with your consent.
In addition, Regent may use your personal data to contact you regarding our products and services, including requests to complete a survey. Regent uses your personal data for marketing or other purposes related to your specific service, in accordance with applicable data protection or privacy laws and your stated preferences.
When you use Regent websites and apps, information about your device and your visit may be collected, such as the date, time, and duration of your visit to our websites (including whether you are a new or returning visitor); browsing, searching, and purchasing activity during your interaction with our websites and apps; IP address; mobile phone number; internet addresses of the websites you came from and to next, including whether you came directly to the website or were directed via another website or link; location data in accordance with your browser settings; and information about your connection, including your device's browser, operating system, and platform type. We may use this information for operational, performance measurement, and other business purposes, and to help us more effectively deliver Regent's marketing messages on our websites, on other websites, through our representatives, by email, or through other Regent services or devices. This information may then be used to tailor the content you see, to evaluate the effectiveness of our websites, and to assist you if you experience difficulties navigating our websites.
If you choose to use our introduction service to inform a friend about our products or a page on one of our websites, you will be asked to send an email directly to your friend. We ask that you do this only with your friend's permission. If your friend introduces you to us directly, we may use the contact information you provide for marketing activities in certain geographic areas, in accordance with applicable law. In some geographic areas, and to the extent permitted by applicable law, we may record or record your telephone conversations with us for quality assurance, training, and security purposes.
When does Regent share personal data?
Except as set forth in this Privacy Policy or in agreements with our clients, Regent will not sell, license, or share personal data outside of Regent companies, except to entities performing work on Regent's behalf, without the consent of the individual whose data will be shared.
Regent uses vendors and partners for various business purposes, including to help us provide, perform, repair, restore, and bill for the services we provide. We share personal data with these vendors and partners when necessary to enable them to perform work on our behalf. We require these vendors and partners to protect the personal data we provide to them and to limit the use of the personal data to the purposes for which it was provided. We do not permit these vendors and partners to use the data for their own (marketing) purposes.
Regent may also share personal data when (i) Regent is required to disclose it by law or legal process; (ii) it is necessary to identify, contact, or bring legal action against individuals who may be endangering public safety or interfering with Regent's property or services—including proceedings necessary to collect outstanding balances from customers—or impeding the use thereof by our customers or others; or (iii) in connection with a proposed or actual sale or other transfer of all or a portion of our assets. Such disclosures will be made solely in accordance with applicable law.
Some of our websites or services may be offered jointly by Regent and one of our partners. If you register for or use one of these websites or services, Regent and the other company may receive personal data. For these jointly offered services, you should also review the partner company's privacy policy, which may describe practices that differ from those described here. Our websites may contain links to third-party websites. If you use these links, you will leave our website. Regent has no control over these third-party websites or their privacy practices, which may differ from Regent's. We encourage you to read the privacy statements of any third-party websites to which we link before submitting your personal data.
Cloud
Regent may store your personal data in a cloud service. This means that your personal data may be processed and stored by a cloud service provider on Regent's behalf in various locations around the world, except where expressly stated (Cloud in the Netherlands/Microsoft Netherlands). Regent has taken organizational and contractual measures to protect your personal data and impose security and privacy requirements on our cloud service providers, including the requirement that your personal data be processed solely for the purposes stated above.
Does Regent transfer personal data to other countries?
As the company providing services to you, Regent may transfer your personal data to another Regent company or to external partners and suppliers in accordance with the law. Entities receiving your personal data may only use it for the purposes for which it was originally shared and are obligated to protect it from further use. These companies may be located outside the country where the service is provided to you. While these countries do not always have the same data protection or privacy laws as the country where the service is provided to you, or may not offer protections considered "adequate" or "equivalent" to the privacy requirements in the country where the service is provided to you, the Regent entity providing the service to you will hold its employees and third-party vendors to the same high standard of personal data protection as Regent has committed to you.
How does Regent protect the personal data collected?
Regent takes customer confidentiality and security very seriously. Regent employs technical, administrative, and physical safeguards to protect the customer data we collect or store from unauthorized access, use, and disclosure. Employees are trained on the importance of protecting privacy and the appropriate access, use, and disclosure of customer data. Our practices and policies restrict access to sensitive, personally identifiable information to those who have a business need. Personal data and other sensitive records are retained only for as long as reasonably necessary for business, accounting, tax, or legal purposes, and we comply with applicable laws that require us to retain personal data.
While we do our best to protect the personal data we collect and store, no program is 100% secure. Therefore, we cannot guarantee that our security measures will prevent every unauthorized attempt to access, use, or disclose personal data. Regent uses access controls, firewalls, secure websites, and secure servers. Regent maintains a security incident response plan to address incidents involving unauthorized access to private data collected or stored by us.
Data Protection Rights
You may request access to, update, correct, rectify, and, where reasonably practicable, delete your personal data, or withdraw your consent to our use of your personal data, as applicable. You may also change your marketing preferences in one or more of the following ways: by contacting customer service at the phone number or email address on your billing statement, or by contacting the company using the contact information below. Please note, however, that withdrawing your consent or deleting certain types of personal data may result in us no longer being able to provide certain services to you as a customer, supplier, or partner, or responding to your inquiries as an applicant or contractor. To better protect you and your data, we take steps to confirm your identity before granting access to or making changes to your data. Contact Information
